Patent/Simple Patent Registration
- Patent is an exclusive right granted by the state to an inventor for their invention in the field of technology for a certain period to implement the invention themselves or to give consent to another party to implement it.
- Invention is an inventor’s idea poured into a specific problem-solving activity in the field of technology in the form of products and/or processes, improvements, and/or developments of products and/or processes, as well as systems, methods, and uses.
- Inventor is an individual or several individuals who jointly carry out an idea embodied in an activity that produces an Invention.
Stages of the Patent Application Process
- Conduct a patent search to check the novelty of the submitted invention, including through the pages https://pdki-indonesia.dgip.go.id/ , https://worldwide.espacenet.com/ , https://patents.google.com/ , https://patentscope.wipo.int/search/en/search.jsf
- Submit the application to IPMO UGM via Simaster
- Administrative examination by the IPMO UGM Team
- Submission of the application by the IPMO UGM Team to the Directorate General of Intellectual Property (DGIP)
- Formal administrative examination by DGIP
- Announcement/publication of the patent application by DGIP
- Substantive examination by the DGIP patent examiner (normally 3 stages)
- Granting or rejection of patent rights by DGIP
- Field of Invention;
- Background of the Invention;
- Brief Description of the Invention;
- Brief Description of the Figures (for inventions in the form of apparatus, figures are mandatory);
- Detailed Description of the Invention;
- Claims;
- Abstract (Maximum 200 words); and
- Figures (for inventions in the form of apparatus, figures are mandatory).
a. Patent Financing Application Letter (Appendix 1).
The patent financing application letter can be filled out and signed by the Head of the Inventor Team without stamp duty.
b. Patent Right Assignment Letter (Appendix 2).
The right assignment letter requires a Rp10,000,- stamp duty and must be signed by the first inventor. If there is more than one inventor, only one stamp duty is needed for the first inventor; other inventors sign in sequence without using stamp duty.
If the patent holder consists of two institutions (UGM and a partner), please use the Patent Right Assignment Letter with Joint Ownership* which can be downloaded from (Appendix 2.1).
*Note: To proceed, Patent applications with joint ownership must submit a softcopy of the Cooperation Agreement (PKS) which includes an IP ownership clause between UGM and the partner. This can be sent via email to hki@ugm.ac.id.
c. Invention Ownership Statement Letter (Appendix 3).
The statement letter must be filled out and signed using a Rp10,000,- stamp duty by the first inventor. If there is more than one inventor, only one stamp duty is needed for the first inventor; other inventors sign in the subsequent order without using stamp duty.
Application files (in PDF and Word format) are submitted by uploading them via the Simaster UGM page.
Ensure:

All patent registration application files have been prepared according to the regulations and signed, then scanned into PDF format;

All patent application files in PDF format must also include the files in MS. Word version, with or without signatures; and

Ensure that all data and information listed in the Word file (.docx) are the same as the printed document in PDF format. Inconsistent data and information between the MS.Word file and the printed document will affect the data on the patent certificate.
Things to note in patent applications
- One of the requirements for a patent application is novelty. Therefore, before obtaining an application number (P00202XXXX or S00202XXXX), please ensure the inventor does not publish the invention to be submitted in the form of articles in journals, proceedings, books, social media, pamphlets, leaflets, or any other form of publication.
- For the smooth processing of the patent application, please submit the patent application files at least 1 (one) month before publication, monitoring and evaluation of reports, and report uploads, to allow time for corrections if there are any deficiencies in the application files.
- Ensure that the data in the Word file (.docx) and the PDF file are consistent.
- Ensure that the title data in all description and application documents is consistent.
- Ensure that the inventor’s name is the same in all application documents, both PDF and MsWord (.docx) formats.
- If there are drawings, they should be in the form of technical drawings (not photos), uncolored, and without line numbers or page numbers.
- Ensure consistency between the title and the content of the description; for example, if the title describes a process, the patent description should also explain the process.
- After obtaining an application number (P00202XXXX or S00202XXXX), the inventor can proceed with publishing or commercializing the applied invention with DGIP without waiting for the patent to be certified/granted.
