Application of Copyright Registration
According to the Law No. 28 of 2014 about Copyright, there are several terms that need to be aware, such as.
- Copyright is an exclusive privilege of the creator which arises automatically based on declarative principle after a work is realized in a tangible form without any limitation in line with the provisions of statutory law.
- Creator is a or several persons who individually or collectively produce a work that is unique and personal.
- Creation is any creative artwork in fields of sciences, art, and literature that is produced by inspiration, ability, thought, imagination, dexterity, skills, or creativity expressed in a real form.
The steps for applying for and registering copyright at Universitas Gadjah Mada are as listed below:

The required documents and copyright registration forms to be completed are as follows:
a. Identity Card
Scan the identity cards of all creators in the order they appear on the registration application form and combine them into a single PDF file.
b. Right Assignment Letter (Attachment 2)
The Right Assignment Letter must have a Rp10,000,- stamp duty on the creator’s signature column. If there is more than one creator, only one stamp duty is needed. The first creator in the sequence signs above the stamp duty, while other creators sign in subsequent order without a stamp duty.
If the Copyright registration application is submitted by two institutions (UGM and a partner), please use the Copyright Assignment Letter with Joint Ownership, which can be downloaded from (Attachment 2.1)
*Note: To proceed, Copyright applications with joint ownership must submit a softcopy of the Cooperation Agreement (PKS) which includes an Intellectual Property (IP) ownership clause between UGM and the partner. This can be sent via email to hki@ugm.ac.id.
c. Creation Statement Letter (Attachment 3)
The Creation Statement Letter must have a Rp10,000,- stamp duty affixed and will be signed by the Head of the Intellectual Property Management Office (IPMO) UGM.
If the Copyright registration application is submitted by two institutions (UGM and a partner), please use the Creation Statement Letter that can be downloaded from (Attachment 3.1).
d. Copyright Financing Application Letter (Attachment 4)
The financing application letter must include the details of the creation to be registered and be signed by the head of the creator team, without stamp duty.
e. Creator Address Form (Attachment 5)
The creator address form must be filled out completely according to the data on the ID card. Please ensure the data is filled out completely and accurately, following the order in the registration application form. The data provided will appear on the Copyright Registration Certificate and cannot be changed once issued.
f. Proof of Creation
Proof of creation can be provided as a softcopy in PDF format. A complete explanation of the creation proof attachments can be found in the table below:

Ensure that:
- All letters and forms for the copyright registration application that have been prepared according to the provisions and signed, are then scanned into PDF format;
- For files other than the proof of creation and the creator’s address form, applicants are also required to include the files in MS.Word version with .docx format, with the form already filled out and complete, identical to the PDF form, either with or without a signature; and
- All data and information in the Word file (.docx) are identical to the data in the PDF file. Inconsistent data and information between the MS.Word file and the printed document will affect the data on the copyright registration certificate.
